About the position
Treatment Action Group (TAG) seeks a highly motivated and organized Administrator to support the organization as it continues to grow. This position reports to TAG’s Director of Operations and Human Resources. This is a full-time, salaried position.

The administrator will provide staff and leadership with support and keep TAG’s office running smoothly and efficiently; oversee administrative and clerical activities; greet and direct office visitors; and support financial, human resources, operations, and development activities. This position requires a New York-city based applicant who will work in TAG’s office a majority of each week.

Key Duties & Responsibilities Include:

Finance & Development

  • Track TAG bank accounts daily and perform monthly reconciliations;
  • Perform bookkeeping duties by processing all payables and receivables including posting transactions to QuickBooks, executing payments and making bank deposits;
  • Administer outsourced twice-monthly payroll, posting in QuickBooks, and circulation of paystubs to individual staff; process tax forms.
  • With Director of Finance, execute authorized bank account transfers; assist Finance Director and Director of Operations and HR as needed with creating and revising budget documents and the audit;
  • With Finance Director, coordinate and post monthly staff expense reports;
  • Craft and circulate weekly donation report and gift acknowledgement letters;
  • Assist Director of Development and Grants Manager with fundraising activities; and
  • Facilitate sales of TAG art inventory; distribute TAG art; track inventory.

Operations

  • Manage office tasks, such as filing, delivering mail, answering emails and phone calls, and data entry; greet and direct office visitors; schedule building services;
  • Maintain comprehensive TAG Google Business email account;
  • Oversee production of printed TAG business collateral;
  • Purchase, organize, and maintain journal subscriptions and delivery of supplies;
  • Post TAG office holidays, office closures, and reporting deadlines to shared calendar;
  • Participate in all-staff meetings and calls; create and circulate meeting notes;
  • Assist with other projects as needed.

Human Resources

  • Support employee benefits process including benefits onboarding for new employees; Process FSA, TransitChek, 403(b), and insurance enrollments;
  • Coordinate and report TAG staff lobbying activity quarterly;
  • Manage note taking responsibilities for staff meetings; and
  • Provide travel support for TAG staff and participants in TAG-sponsored meetings.

Background, Experience, and Competencies

  • Experience managing administrative and office tasks, including but not limited to, scheduling, supply management, and coordination of office procedures;
  • Proficient with Microsoft Office (including Excel), QuickBooks, Certify, and Salsa);
  • Knowledge and expertise in Google Workspace;
  • Experience supporting data entry for a CRM;
  • Effective and clear verbal and written communication skills; strong interpersonal and networking skills, friendly rapport and the ability to communicate effectively in a collegial manner and maintain good professional relationships;
  • Ability to be a self-starter who can work independently and proactively;
  • Superb organization skills, attention to detail, and follow-through;
  • Openness to feedback and ability to change, and problem-solving expertise;
  • Demonstrated experience or commitment to working in a multicultural environment where commitment to diversity based on race, ethnic and national origin, age, sexual orientation, gender identity, and physical ability is a core value;
  • Previous experience working in the nonprofit sector is highly desirable including familiarity with its challenges, regulations, and
  • Enthusiasm for TAG’s mission is a must; familiarity with advocacy, public health, policy making, research, or lived experience with TAG’s work foci, is a plus.

Salary & Benefits
The salary will be $65,000 – $75,000 per year, commensurate with experience and skills.
