About the position

Treatment Action Group (TAG) is seeking a highly organized and technically proficient Administrator to support the organization as it continues to grow. This position reports to TAG’s Director of Finance. This is a full-time, salaried role.

The Administrator will play a key role in keeping TAG’s operations running smoothly and efficiently by supporting financial, administrative, development, and human resources functions. This position will help coordinate day-to-day office operations, maintain financial and administrative systems, support staff and leadership, and ensure organizational processes run effectively. The role requires strong organization, attention to detail, and the ability to manage multiple responsibilities in a dynamic and collaborative environment.

Key Duties & Responsibilities

Finance & Development

  • Support daily tracking of TAG bank accounts and assist with monthly reconciliations
  • Process accounts payable and receivable, including posting transactions in QuickBooks and executing payments and deposits
  • Assist with administration of outsourced payroll, benefits, retirement accounts, and distribution of staff paystubs
  • Coordinate posting and reconciliation of staff expense reports
  • Assist with preparation for annual budgeting and fiscal audit processes
  • Produce weekly donation reports and support donor acknowledgment processes
  • Assist with fundraising activities and events as needed
  • Manage TAG art inventory and support sales and distribution of art editions

Operations

  • Manage general office operations including filing, mail, email correspondence, data entry, and answering phones
  • Greet and direct office visitors and coordinate building services and security clearance
  • Maintain organizational email accounts and shared calendars
  • Support production of organizational materials and printed collateral
  • Order and maintain office supplies and journal subscriptions
  • Schedule and coordinate logistics for staff meetings and events
  • Assist program staff with travel logistics and administrative coordination
  • Capture and circulate meeting notes from staff meetings
  • Support additional operational projects as needed

Human Resources

  • Support employee onboarding and benefits administration
  • Assist with enrollment in benefits programs including insurance, FSA, commuter benefits, and retirement plans
  • Coordinate and report staff lobbying activity on a quarterly basis
  • Provide logistical support for staff travel and group programmatic travel

Background, Knowledge, Skills, Abilities

  • Experience managing administrative functions in an office environment
  • Strong organizational skills with attention to detail and follow-through
  • Experience with Microsoft Office and Google Workspace
  • Familiarity with financial and administrative software such as QuickBooks or similar systems
  • Experience supporting CRM data entry or donor systems is a plus
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and work collaboratively across teams
  • Sound judgment, problem-solving ability, and the capacity to work independently when needed
  • Experience working in nonprofit environments is highly desirable
  • Demonstrated commitment to working in diverse and multicultural environments
  • Enthusiasm for TAG’s mission; familiarity with advocacy, public health, or policy work is a plus

Salary & Benefits

The salary for this full-time role will range from $65,000 to $75,000, depending on experience.

Location and Hours

This is a full-time, exempt position. The role is based in New York City, with a strong expectation of working in TAG’s office the majority of the week. Standard office hours are generally 10:00 AM–6:00 PM ET, with occasional evening or weekend work.
